GENERAL DESCRIPTION OF CLASS

The PROOFREADER reads publication proofs word for word, checking for errors in spelling, grammar, punctuation and typeface, marking copy with appropriate proofreader marks to indicate errors. Work is normally performed on hard copy (printed paper) but may be performed at a computer terminal. Duties are usually performed in a normal work setting.

This is a single classification and not currently part of a series of classes.

DUTIES AND RESPONSIBILITIES

  1. Proofreading. Typical tasks: reads printed proof page and galley proofs received from an editor or printer to check for accuracy in spelling, punctuation, grammar, style and typeface; checks proof against original manuscript if needed; marks proof with approved proofreader marks to indicate errors found and corrections needed; communicates with editor if there are questions or major problems; delivers completed proof copy to printer for final printing or returns to editor as appropriate.
  2. Publication Supply Maintenance. Typical tasks: checks stock of current books or other publications on hand in the shipping room; determines if supply is adequate; replenishes shipping room stock of publications from storage room as required; lifts and unpacks boxes of books from printer when necessary.
  3. Pick Up and Delivery. Typical tasks: travels to local printer and picks up page or galley proofs on a periodic basis; delivers corrected proof copy to local printer as required.
  4. Miscellaneous. Typical tasks: may provide other general office support services as time and unit needs require.

RELATIONSHIPS WITH OTHERS

Employees in this class have in-person contact with printers about two to three times a week to pick up galley proofs or deliver corrected proofs for final printing. Employees may exchange information with editors about proof or printing problems relevant to a specific publication.

SUPERVISION RECEIVED

Employees in this class receive general supervision from a supervisor in a printing, publishing, or general office environment. Work is reviewed for accuracy upon completion by the supervisor. There may be occasional direct feedback from an editor responsible for a specific publication. Employees in this class are guided by the Chicago Manual of Style, the General Printing Office Style Manual and dictionaries and typeface catalogs to assure correct spelling, punctuation, grammar, style, and typeface.

MINIMUM QUALIFICATIONS

  • Completion of courses or training in Office Technology; OR
  • One year of general clerical experience; OR
  • An equivalent combination of training and experience.
